Reference Checks
Do you really know who you are hiring? Don’t forget to do reference checks! Hiring the wrong person can be costly, so do not skip this critical step. 

Selecting Reference Questions Sets 
In Chapter 4 of the manual, you can learn how to add Reference Questions Sets to your library. 

Reference Questions Sets 
EDJOIN provides the tools necessary to record and track references. The Reference Questions Sets Library is where you can create sets of reference questions ahead of time, and store them for later use. Chapter 8 will cover the steps on how to use these reference questions. 

To add reference check question sets, follow these steps:
ADD REFERENCE QUESTIONS SETS 
  1. Click on Menu, then click on Reference Questions Set under the Libraries menu; the Reference Questions Set screen will appear. 
  2. Click Add New Reference Question Set located near the top. 
  3. Enter Question Set Name and Save. You can base the Question Set on a previous one by selecting it from the library. 
  4. Enter questions and click on Add to save it. 
  5. Click on the “Return to Reference Question Libraries” link to go back to the list of Question Sets.

To edit or delete a reference question set, follow these steps: 
EDIT REFERENCE QUESTIONS SETS
  1. Click on Menu, then click on Reference Questions Set under the Libraries menu; the Reference Questions Set screen will appear. 
  2. Click Edit next to the name of the question set. 
  3. If you want to change the name of the Question Set, make the changes and Save
  4. You can Add more questions or Delete existing ones. 

DELETE REFERENCE QUESTIONS SETS 
  1. Click on Menu, then click on Reference Questions Set under the Libraries menu; the Reference Questions Set screen will appear. 
  2. To Delete, check the boxes next to the items you wish to delete, then click the Delete Selected Item(s) button.


Now it’s time to choose them! 
CHOOSE QUESTION SETS 
  1. Click on Menu, then click Applicant Tracking under the Applicants menu.
  2. Locate the posting and click View.
  3. On the drop-down menus, click Reference Check to open the Choose Question Set screen.
  4. If reference questions sets were previously entered in the Reference Question Sets Library, select a set from the drop-down provided to complete the selection process.
  5. If reference questions sets were not previously added, select Create New Question Set.
  6. The Add Question Set screen will appear. Enter Title and Questions.
  7. Click the Add Question Set button to complete the addition of the new questions set and selection process.

The information you gather from checking the candidate’s references is important, so keep the information in a secure and accessible location. In other words, record the responses on EDJOIN. 


Now that the reference check questions are in place, you can start dialing! 
PERFORMING REFERENCE CHECKS 
  1. Click on Menu, then click Applicant Tracking under the Applicants menu.
  2.  Locate the posting and click View.
  3. On the Applicant Grid, click on the telephone icon located under Reference Check for the desired applicant.
  4. The applicant’s Reference Check Summary screen will appear.
    Note: You can also manually enter additional references if need be.
  5. Locate the reference’s phone number listed in the Organization/Phone column.
  6. Dial phone number.
  7. Click on the Name/Title of the reference to open the Reference Check screen.
  8. Once the person is on the line, ask the person each question.
  9. Enter the responses online.
  10. Click box next to your name, certifying that the information is accurate.
  11. To complete the process, click the Record Responses button.
  12. You may also enter Reference Check Notes at the bottom of this screen. This section will not save the responses to the reference check questions above so be sure to Record Responses first or not enter any responses at the time you enter notes. 
    Example Note: Attempted to contact reference on mm/dd/yyyy.

Reference Checks cannot be altered once submitted.
